1. Who we are (Data Controller)

2. Information we collect

We may collect and process the following categories of personal data:

• Identity data: full name, nationality, and, for workers and verified accounts, passport / Emirates ID / labour-card details and job title.
• Contact data: business or personal email address, telephone number, and business address.
• Enquiry and application data: details you submit through our contact form, quote builder, or careers application (including a CV where you choose to upload one).
• Service and employment data: where we act as employer or workforce provider, attendance, payroll, leave, and compliance records needed to deliver and administer the service.
• Technical data: IP address, browser type and version, time-zone and device details, and, where you consent, analytics data about how you use the site.

We collect only the data we need for the purposes below. Providing certain data (for example, to respond to an enquiry or process an application) is necessary for us to act on your request; where it is optional we tell you.

3. How and why we use your data (legal basis)

Under the PDPL we process personal data only where we have a lawful basis to do so. We rely on the following bases:

• Your consent: for optional analytics cookies and, where applicable, marketing communications. You may withdraw consent at any time (see section 7).
• Performance of a contract, or steps taken at your request: to respond to your enquiry or quote request, process a job application, and deliver the services you or your organisation engage.
• Compliance with a legal obligation: for example, Wages Protection System (WPS) records and Ministry of Human Resources and Emiratisation (MOHRE) filings required of us as an employer in the UAE.
• Our legitimate interests: to operate, secure, and improve our services and prevent fraud or abuse, provided these interests are not overridden by your rights.

4. How long we keep your data (retention)

We retain personal data only for as long as necessary for the purpose it was collected, or as required by UAE law:

• Enquiries and quote requests: up to 24 months from your last contact with us, unless you become a client.
• Careers applications and CVs: up to 12 months from the close of the relevant recruitment process, unless we agree with you to keep them for future roles.
• Client, worker, and financial records: for the duration of the engagement and for the period required by UAE labour, tax, and commercial record-keeping laws thereafter (generally up to 5 years for accounting/VAT records).

When data is no longer needed, we securely delete or anonymise it.

5. Data storage, security, and international transfers

We implement technical and organisational measures, including access controls, encryption in transit, and least-privilege access, to protect your personal data from accidental loss, unauthorised access, alteration, or disclosure. We restrict access to those employees, agents, and contractors who have a legitimate need to know.

Our systems are hosted on secure cloud infrastructure. Some of our service providers (for example, cloud hosting and, where you consent, website analytics) may process data on servers located outside the UAE. Where personal data is transferred outside the UAE, we do so in accordance with PDPL requirements for cross-border transfers, transferring only to jurisdictions or recipients that provide an adequate level of protection, or under appropriate contractual safeguards.

6. Sharing your information

We do not sell your personal data. We may share it with:

• Third-party service providers acting on our instructions (for example, cloud hosting, payment processing, email delivery, and, where you consent, website analytics).
• Government authorities, regulators, or law enforcement in the UAE where required by law (including MOHRE and WPS obligations).
• Professional advisers including lawyers, auditors, and insurers, where necessary.

7. Your rights under UAE law

Under the PDPL, you have the following rights regarding your personal data:

• Right to be informed: to know what data we hold and how we process it.
• Right of access: to request a copy of your personal data.
• Right to rectification: to correct inaccurate or incomplete data.
• Right to erasure: to request deletion of your data in certain circumstances.
• Right to restrict or stop processing: to object to or limit how we process your data.
• Right to data portability: to receive your data in a structured, commonly used format.
• Right to withdraw consent: where we rely on your consent, you can withdraw it at any time without affecting processing already carried out.

To exercise any of these rights, email hello@tamdeed.io. We will respond within the timeframe required by the PDPL. If you are unhappy with how we handle your data, you have the right to lodge a complaint with the UAE Data Office.

8. Automated decisions, children, and data breaches

• Automated decision-making: we do not make decisions producing legal or similarly significant effects about you based solely on automated processing.
• Children: our services are directed at businesses and adults. We do not knowingly collect personal data from anyone under 18.
• Data breaches: in the event of a personal data breach that poses a risk to your privacy, we will notify the UAE Data Office and affected individuals as required by the PDPL.

We may update this Privacy Policy from time to time. The date of the latest revision is shown at the top of this page. Material changes will be highlighted where appropriate.
